Haven't set up rooms yet? Run through the Getting Started tour first. It takes about 3 minutes and gets your Control Centre ready for everything that follows.
Add a Child to ChildMindi
Create a complete child profile in about 90 seconds — name, date of birth, room assignment, dietary needs, and emergency contacts. From this point on, every daily record connects to this profile automatically.
One Quick Prerequisite
Make sure you have at least one room created before adding a child — every profile needs a room assignment.
Four Steps to a Complete Child Profile
The form is short. The important parts — dietary, emergency contact — are highlighted so you don't miss them.
1. Open the Add a Child Form
From the top menu, go to Children › All Children, then click Add a Child. A clean form appears with all the essential fields.
You're ready to enter the child's details.
2. Fill in Profile + Dietary Needs
Enter name and date of birth — age calculates automatically. Assign a room from the dropdown. Always fill in dietary requirements — it's critical for safeguarding. If a child has an allergy, it goes here.
Core profile and safety info are captured in one go.
3. Add an Emergency Contact
Scroll down and enter at least one emergency contact — parent or guardian name, phone, relationship. This information is linked to the profile and available to any staff member who needs it.
Anyone on shift can reach the right person in seconds.
4. Save and Confirm
Hit Save. The child appears in their assigned room in the All Children list. The profile is now wired into attendance, daily notes, observations — everything.
Your daily records can begin immediately.
Every Record Connects to This Profile
The few details you enter here power everything that follows — attendance check-ins, daily notes, learning observations, parental access. Get this right once and the rest of your day runs on top of it.
The aha moment: The child is in the system, assigned to a room, and ready for daily records. No paperwork. No filing. Everything in one place.
